Start with the function and installation point
Classify every line position by its function: isolation, regulation, check, relief, mixing, sampling, drainage, or another function defined by engineering. Include the line identifier or tag, a process diagram or isometric when available, and exact location. This prevents replacing a control valve with a shutoff valve, or a check valve with an element that only looks similar.
Describe the fluid, known concentration, normal and extreme temperature, expected pressure or vacuum, solids, corrosion, abrasion, cleanliness, and operating frequency. Explicitly state if the line carries steam, chemicals, sludge, process product, or a fluid whose conditions change. Your technical team must define the materials and characteristics acceptable in contact with that service.
What happens around the valve also matters. Record diameter, connection type, flange face, thread, weld, or other interface; clarify available space, orientation, handwheel or actuator accessibility, and removal needs. Two valves of the same diameter are not necessarily compatible: connection, face-to-face length, sealing, body, actuation, and service conditions may differ.

A clear request identifies configuration and scope.
