A quality inspection in China provides visibility before an order leaves the supplier, but it does not replace a clear specification or eliminate all risk. To be useful, it must respond to defined criteria: product, reference sample or drawing, critical attributes, and how findings will be documented. Simply asking to “check quality” leaves too much room for different interpretations.

Define what acceptable means
Before inspection, agree on the dimensions, material, finish, quantity, packaging, labeling, operation, and documentation that matter to your operation. For industrial parts, tolerances and tests must come from the technical lead. A concrete checklist reduces differing interpretations by the supplier, inspector, and buyer.
Criteria must refer to a specific version of an approved drawing, data sheet, or sample. Where a characteristic is critical—for example thread, color, assembly, protection, lot identification, or declared composition—describe it in verifiable terms. Also define expected evidence: photos, measurements, counts, video, packaging notes, or available documents. A useful review should not depend on an inspector guessing what the plant considers acceptable.
Not all products require the same scope. A pilot purchase, low-risk component, and critical production-line part justify different control decisions. The buyer must define that risk level and release criterion before ordering an inspection.
Choose the control point
The review can be planned before production, during the process, or when merchandise is finished and packed. Each point covers a different risk. Early validation can reveal questions about the requirement; an in-process review can provide progress context; a pre-shipment review can observe finished product and packaging within the agreed scope.
An inspection is not an integral factory audit, laboratory test, certification, or regulatory authorization unless that scope is expressly engaged with a capable entity. It also does not replace receiving controls or tests the company needs upon receipt. Choose review type and timing according to product, budget, required evidence, and accepted risk.
Reports, findings, and decisions
A useful report relates each observation to an agreed criterion, photos, observed quantity, and lot reference where applicable. If a deviation is found, document what was observed, which reference it was compared with, and what additional information is needed to decide. The company must review evidence before releasing a commercial or logistics decision.
A general “approved” conclusion is insufficient when a product has critical requirements. Purchasing, engineering, and quality must interpret the report under their own approval system. Keep reports, specification versions, approved samples, and relevant communications; this history can help with repeat purchases or supplier changes.
