Describe every fastener as part of an assembly
Start with the equipment, joint, or position where the item will be used. Record the asset, location, function, quantity, and whether it is for replacement, new assembly, repair, or inventory. A photograph can start the conversation, but add images of the head, thread, nut, washers, and installation area. If a part number, assembly drawing, specification, or manual exists, attach it with its current revision.
Document nominal diameter, length measured from the point appropriate to the head type, thread pitch, unit system, thread direction, and configuration. Specify head type, drive, shank, full or partial thread, and any visible characteristic relevant to the assembly. Create separate lines for nuts and washers with their size, type, and quantity. Two screws can share diameter and length yet differ in pitch, head, material, usable thread, coating, or declared capacity. Do not treat expressions such as “high strength” or “industrial grade” as confirmation that a part meets the installation requirement.
If a reference is unavailable or a different configuration is offered, record it as an alternative awaiting decision. The company’s technical lead must review the interface, joint, tightening, accessibility, vibration, corrosion, and installation procedure.
