Distinguish the hose, assembly, and connection point
Start by identifying whether you need a roll, cut length, hose assembly, or assembly with accessories. For a replacement, gather the part number, markings, photographs of the entire length and both ends, and the equipment or line where it operates. Include a drawing, manual, or hose list if one exists. Do not discard details such as a sleeve, protective spiral, clamps, adapters, elbows, or swivel connection: they may be necessary to install the assembly.
Describe the conveyed medium and the condition defined by the plant: fluid type, known concentration, temperature, pressure or vacuum, pulsation, abrasion, cleaning, and outdoor environment. Add whether there is movement, vibration, dragging, exposure to sun, humidity, heat, or contact with surfaces. This information organizes an inquiry; the technical owner must determine the materials, limits, and requirements applicable to the actual line.
Record inside diameter, outside diameter, and length with clear units. For a hose assembly, identify each connection separately: type, size, thread, sealing face, orientation, and angle relative to the other end. Also record the installation space and route. A correct length on a route that exceeds the allowable bend, rubs against an edge, or forces a connector may not be suitable. The plant team must validate the route and mounting.
Organize purchasing by line or asset
Use one line item per position, not a generic description for all hoses. Include the tag or asset, function, quantity, existing reference, dimensions, ends, service, photos, and priority. Distinguish a hose for an urgent repair from a purchase for inventory, new equipment, or a process modification. Each purpose may require different evidence and acceptance criteria.
Explicitly define what must be included: hose, fittings, adapters, protectors, caps, labels, or packaging by kit. If it connects to an industrial valve from China, do not assume the valve alone determines the connection or assembly. Confirm the interfaces on both sides and the configuration required by your installation.
When data come from a removed part, mark which information is observed and which condition remains pending. Avoid interpreting commercial expressions such as “high pressure,” “reinforced,” or “industrial use” as evidence of suitability for your service. The important criteria are those your organization defined for that application and its interfaces. A matching diameter or catalog photo does not replace review of the line’s fluid, movement, pressure, temperature, route, connections, and safety.
If the project involves exposed personnel, hazardous fluids, energy, a critical process, or active warranties, establish the approval authority and installation restrictions in advance. The buying company must define controls, internal testing, and safety procedures.
